Idle time, alerts and marking idle time as working time by approvals

If the user was idle on the system then on the user desk the following popup will be displayed to choose whether they are working at that time or not. 



 


If they click on "YES I was working"  then the following popup to provide the description will be displayed 


 


 


After entering the description and clicking on Submit that time will be marked as Working time in the system.


If they click on "I was not working" then that time will be marked as Idle time in the system.


Note: If you want to enable alerts to the manager when the idle time was noticed refer to the bottom  Step1: Idle time alert to the manager


For Users, how to mark idle time as working time 


Open the Time Champ website and click on the Time tracker menu and then select the "Attendance" tab as shown below


If the user was idle or away on the system by doing some productive work without using the desktop then he can mark that time as working by clicking on the away time as highlighted below


 


The following popup will be displayed as shown below


 

If you want to edit the time details manually, hover the mouse over the idle time so that the edit icon will display. Click on the Edit icon.

You can even adjust the time here.


You can change here whether you are working or Nonworking


Then mention your reason, write the reason in the text field, and click on the tick mark.



 

Note: If you want to enable alerts to the manager for approval refer to the bottom Step2: Idle time approvals configuration


Idle time as working time request email to the manager  



When the manager clicks on "Click here to Approve/Reject" in the email then it will redirect to the Away Times screen as shown below or login with the manager account, navigate to the Time tracker menu and then select the "Away Times" tab as shown below



When the manager clicks on Approve then the user will be notified with the email as shown below and also that time will be marked as working time in the system


 


When the manager clicks on Reject then the user will be notified with the email as shown below and that time still is considered idle in the system.


 


 


Step1: Idle time alert to the manager


In the time tracker settings screen, select the "Tracker idle alert to the manager" as shown below. if enabled then an email will trigger to the manager when users are idle on their system



When the user was idle on the system, then an email notification will be sent to his manager as shown below based on the configuration 


 


Step2: Idle time approvals configuration


1. Enable the role permission "Can mark idle time as working" 


2. If you want approvals when converting idle time to working time by the system we need to disable this role permission "Can add away time as working time automatically" under the Activity tracker section in the role permissions screen.


By default, it will be disabled only. If you want idle time to convert to working time automatically you can enable this role permission



3. In the time tracker settings screen, select the "Tracker email to manager for approving away time as working time" as shown below 


if enabled then an email will trigger to the manager when users request the manager to approve the idle time
